The Integrated Total Absence Management Coordinator at Avant will act as the liaison for Division HR Partners/Disability Coordinators and the Corporate Benefits Team, focusing on disability, leave, and life insurance. This role, which may be remote or at the client site, involves managing leave processes, ensuring ADA compliance, and providing necessary accommodations to individuals with disabilities. Due to access to sensitive employee data, TSA clearance is required.
Key Responsibilities:
Disability and Leave Management:
- Serve as the point of contact for Leave of Absence (LOA) team members, ensuring case resolution and adherence to company policies.
- Facilitate the ADA leave process, from initial request to return to work, coordinating with team members, managers, HR partners, and external vendors.
- Review medical documentation to determine eligibility for ADA accommodations and ensure compliance with ADA guidelines.
- Maintain accurate and confidential records of ADA requests and accommodations.
- Process PPL approval notifications and ensure the creation of bonding leave claims.
- Run weekly and monthly reports to track PPL usage and upcoming expirations, notifying HR Partners and Payroll of any remaining balances.
- Access and initiate FMLA claims for lost time workers’ comp cases.
- Run monthly reports to track workers’ compensation claims and ensure compliance with FMLA.
- Notify members of upcoming LTD eligibility and send necessary documentation.
Claim and Benefits Coordination:
- Discuss and research claim questions and escalations.
- Provide claim decision notices to specific division HR Partners.
- Review weekly STD claims reports for potential LTD transitions and notify relevant parties.
- Notify claimants of LTD closure via email.
- Provide system and plan training for new HR team members.
- Generate and provide ad-hoc and ongoing reports as needed.
Life Insurance Administration:
- Complete and submit death claim forms.
- Review weekly EOI reports and ensure alignment with current coverage in Workday.
- Assist members with Port/Convert applications and model scenarios as needed.
Qualifications:
- Bachelor’s degree preferred or equivalent education and experience.
- 5 years of relevant work experience in leave of absence administration in large organizations (preferably multi-unit).
- CLMS certification preferred but not required.
- Proficiency in MS Office Suite.
- Strong knowledge of FMLA, ADA, COBRA, and state disability laws.
- Excellent customer service, conflict resolution, and communication skills.
- Ability to handle multiple tasks simultaneously in a fast-paced environment.
- Maintain strict confidentiality and professional conduct.
